J. Smith opened a financial services firm in 1975 in a small office in Springfield, Mo. In the last 35 years the firm has grown substantially to over 60 offices around the country and over $100,000,000 in funds management. The company continues to grow in revenue by over 15% annually.
The company maintains the headquarters in Springfield, Mo. Continued changes in legislation, government policy, and investment products have made managing change more difficult. Consistency with the highest quality services offered has been the bedrock principle for over 35 years. As the company has grown, the infrastructure of the organization has struggled to keep up. J. Smith the founder of the company has requested an overhaul of the organizational structure to set a foundation for the next 30 years.
An organizational strategy team has been developed with personnel from all levels of the organization. Personnel from different offices are attached to the team for feedback and information. Each office is responsible for reporting back the needs of their region including those of the offices not directly part of the organizational strategy team.
You have been brought in as an external consultant to head the organizational overhaul project. You report directly to the team. You will be asked to complete certain tasks as part of this project and report back to the team. You are encouraged to bring in new ideas and concepts to the organization as to how the organization can be strengthened and more effective in their work and communications.
J. Smith & Associates have requested your firm to submit a project summary regarding opening a new division office in Scottsdale, Arizona. This new office will serve as a regional headquarters for Arizona, Nevada, Colorado, New Mexico and California. The office will connect with remote satellite offices throughout the region. This division office will connect with the other division offices as well as the headquarters in Springfield, Missouri.
The division office will house over 500 employees that address the various needs of customers and employees throughout the region. The physical office building is three stories tall and the entire enterprise is housed on all three stories occupying the entire building. The building is three years old. The building infrastructure is current and modern including the telecommunications, electrical needs and code. Your firm’s task will be to move in the necessary furniture and equipment, networking the technology, setting up and equipping the communication services.
As part of the overhaul regarding the organizational structure, the executive suite is established in the central portion of the building on the third floor of the divisional office. The third floor will serve as support services for those in the executive suite as well as maintaining communication and connectivity with the other division offices and headquarters. Legal affairs and compliance is also on the third floor. The second floor is dedicated to the regional offices and employee support. The first floor is committed to customer service support.

Close out the technology project (VTC) by wrapping up the various components of the project for the summary.
Address the different aspects of closing a project. Assemble a closing report that addresses the different areas of Video Teleconferencing project to bring finality and closure.
